HVAC Office Manager

Position Description

The Office Manager will maintain the day-to-day functioning of the company's front office administration, assisting co-workers in administrative tasks to increase company productivity. This individual should have experience in the construction field and ambitions to grow with increased responsibility and management. This role requires an experienced, self-directed, resourceful, high-energy administrative professional who is confident taking initiative and finding opportunities to enhance their role beyond the daily call of duty. The ideal candidate will rise to challenges, be a creative problem solver and apply high standards to their work and office environment.


Professional experience working in the heating and air / construction industry.
Previous experience in administrative services in related fields
Ability to prioritize and multi-task
Strong organizational and communication skills
Deadline and detail-oriented
Proficient in Microsoft, Excel


Responsible for ordering office supplies, the set-up and repair contracts for the office equipment and cleaning of the job site office as needed
Prepare interoffice and incoming/ outgoing mail as necessary
Update; maintain schedules and calendars
Organize special meetings and functions
Provide support to field personnel (project) and staff when necessary
Provide administrative assistance to management team
Maintain safety records and reporting procedures
Manage Admin staff of 4-5
Construction Project Billings
Contracts Administration, Job set up, Insurance Certs., Subcontracts, Bonds Etc.
Oversee some HR functions
Encourage and improve cross-department internal communication
